Our client is a leading agency specializing in production, training, and technology solutions for the life sciences industry. Their team develops innovative omnichannel communication, commercial, learning, and engagement programs designed to support and energize leading pharmaceutical organizations.
Their work spans live meetings, virtual conferences, leadership presentations, training curricula, on-demand learning, workshops, experiential programs, communication platforms, and team-building initiatives.
Due to continued growth, they are seeking an experienced Director of Operations to join their leadership team.
The Opportunity
Reporting directly to the CEO, the Director of Operations will lead the company’s internal systems, infrastructure, and operational improvement initiatives.
This individual will manage a small team and work cross-functionally with Finance, IT, and other business functions to improve processes, implement technology solutions, strengthen operational controls, and build the infrastructure needed to support continued growth.
The ideal candidate is a strategic, hands-on operations leader who enjoys improving how organizations operate and can successfully move initiatives from concept through implementation.
Key Responsibilities
- Lead the Operations function, including oversight of staff, budget, priorities, and day-to-day operational effectiveness.
- Identify opportunities to improve business processes, workflows, efficiency, and scalability across the organization.
- Lead operational transformation initiatives from planning through implementation, including change management, communication, adoption, and training.
- Manage the implementation and optimization of business systems and technology platforms, including CRM, ERP, project management, and workflow tools.
- Partner with Finance to improve processes and drive adoption of technology-enabled workflows.
- Oversee and continuously improve the client contracting process, including MSAs, CDAs, SOWs, and related agreements.
- Coordinate appropriate internal contract reviews and escalate potential business or operational risks as needed.
- Maintain a centralized repository of key client requirements, contractual obligations, and compliance parameters.
- Ensure internal teams understand and adhere to client-specific requirements and agreements.
- Oversee client onboarding and ongoing client compliance processes, including questionnaires, documentation, and sustainability-related initiatives.
- Partner with the internal IT function to ensure secure, reliable, and efficient technology operations.
- Manage IT-related budgets, resources, and priorities.
- Develop and maintain a technology roadmap aligned with the company’s business objectives and future growth.
- Manage relationships with external IT vendors and technology partners.
- Support adherence to cybersecurity, data privacy, and information security best practices.
- Evaluate emerging technologies and identify opportunities to improve productivity, collaboration, and operational effectiveness.
Qualifications
- 7–10+ years of experience in operations, business operations, project management, or related leadership roles.
- Experience within a life sciences agency, healthcare agency, professional services organization, or similar client-service environment strongly preferred.
- Demonstrated success leading process improvement and organizational change initiatives.
- Experience implementing, managing, or optimizing business systems such as CRM, ERP, and project management platforms.
- Strong proficiency with Microsoft Office.
- Experience with Microsoft Dynamics 365, Business Central, or similar ERP platforms preferred.
- Experience with systems such as HubSpot, Smartsheet, Monday.com, or comparable workflow and project management tools.
- Familiarity with generative AI and emerging productivity technologies, including tools such as ChatGPT and other LLM-based applications.
- Ability to manage multiple complex initiatives simultaneously while maintaining attention to detail and deadlines.
- Strong analytical skills and a data-driven approach to decision-making.
- Excellent communication, collaboration, and problem-solving abilities.
- Demonstrated ability to work effectively across departments and influence stakeholders at multiple levels.
